Job Overview
We are in search of a highly adaptable, organized, and detail-oriented Office Generalist to join our dynamic team. In this pivotal role, you will provide essential support to two independent businesses, facilitating day-to-day operations and ensuring efficient workflows. As a key contributor in both logistics and service sectors, you will engage in a variety of administrative tasks, playing an integral role in fostering growth and enhancing operational efficiency.
Key Responsibilities
- Manage onboarding processes, including the creation and issuance of essential documents such as disciplinary and termination letters.
- Assist in maintaining compliance with HR policies and federal, state, and local employment regulations.
- Support management with processing employee documentation and generating required reports.
- Coordinate employee training and development initiatives.
- Track delivery cases to meet customer satisfaction and performance standards.
- Monitor driver performance and oversee personnel and equipment usage for accurate billing.
- Handle invoicing for clients and contractors, ensuring timely payments.
- Execute general clerical duties, such as filing, data entry, and document management.
- Process payroll through ADP and keep employee records up to date.
- Assist with financial management tasks, including managing receipts and invoices for accountants.
- Support the mobilization of personnel and equipment as necessary.
- Help develop and document efficient operational processes to promote growth.
- Manage procurement of materials and equipment as required.
- Assist in basic marketing tasks such as email campaigns.
- Ensure the confidentiality of sensitive information, including customer and payroll data.
- Provide quality assurance by monitoring daily activities and addressing issues promptly.
- Offer general administrative support to management as needed.
Required Skills
- Proven experience in a similar role or relevant field, demonstrating strong clerical skills and attention to detail.
- Proficiency in Microsoft Office Suite and exceptional organizational abilities.
- Capability to manage multiple tasks independently while maintaining high efficiency.
- Strong written and verbal communication skills, with the ability to collaborate effectively with team members.
- Confidence in interacting with employees and management, along with the capacity to track hours and documentation.
- Willingness to learn, adapt, and grow within the role.
Qualifications
- Previous experience in office administration or small business environments is essential.
- Basic knowledge of Human Resources, project coordination, and accounts payable/accounts receivable (AP/AR).
- Ability to thrive collaboratively in a fast-paced environment, showcasing strong problem-solving and organizational skills.
- High School diploma or Associate's Degree required; an Associate's or Bachelor's degree, or related field experience is preferred.
